This Privacy Policy explains how Exedos Ltd (“Exedos”, “we”, “us”, “our”) collects, uses, shares, and protects personal data when you use AISolver, our AI-powered work management platform accessed at my.aisolver.com (the “Service”). It applies to all visitors, registered users, and organisations that use the Service.

We are committed to protecting your privacy and handling your data transparently. If anything here is unclear, write to us at privacy@exedos.com and we’ll do our best to clarify.

1. Who we are

Exedos Ltd is a company registered in the United Kingdom and acts as the data controller for personal data processed through the Service. References to “AISolver” mean the Service operated by Exedos.

2. The personal data we collect

We collect data in three categories:

2.1 Information you provide directly

  • Account data: name, email address, password (stored as a salted hash), and optional profile fields such as company name, role, avatar, contact email, phone numbers, and address.
  • Workspace content: the lists, tasks, notes, sheets, chats, files, drives, dashboards, and AI-generated artifacts you create in or upload to the Service.
  • Communications: messages you send to our support team, feedback, and any other content you choose to share with us.

2.2 Information collected automatically

  • Service usage: pages visited, actions performed (creating, editing, completing tasks), feature usage, and timestamps.
  • Device + connection: IP address, browser type, operating system, device identifiers, and language preferences.
  • Cookies + session tokens: a session cookie that keeps you logged in, plus minimal local-storage entries used by the Service to remember your interface preferences. We do not use third-party advertising or analytics cookies.

2.3 Information from third-party services you connect

If you connect a third-party service to AISolver (for example, Google Drive, Google Calendar, or other integrations we may add in future), we receive the data those services share with us under the scopes you explicitly authorise. We use the minimum scopes required to deliver the feature you enabled.

3. How we use your data

We process personal data to:

  • Provide, maintain, and improve the Service and its AI features;
  • Authenticate you and keep your account and data secure;
  • Process requests you make to our AI agents (lists, notes, artifact generation, document generation, chat reviews, summaries, etc.);
  • Send transactional emails (sign-up confirmation, password reset, security notifications, billing receipts);
  • Respond to support requests and communicate about Service changes;
  • Detect, prevent, and respond to abuse, fraud, or technical issues;
  • Comply with legal obligations and enforce our Terms of Use.

4. AI processing and third-party model providers

AISolver uses large language models from Anthropic (the “Claude” model family) and may also use OpenAI image-generation models, to power its AI features. When you trigger an AI action we send the content needed for that action — for example, a task list, the body of a note, a chat transcript window, or layout cell data — to the chosen model provider. Providers process this content under their own data-handling commitments; we do not authorise them to use your content to train their models.

For users who supply their own provider API key, requests are attributed to that key and the provider’s terms apply directly between you and the provider.

5. Legal bases for processing (UK + EEA users)

We rely on the following legal bases under UK GDPR and EU GDPR:

  • Contract: to deliver the Service you signed up for;
  • Legitimate interests: to operate, secure, and improve the Service in ways you would reasonably expect (e.g. fraud prevention, service analytics);
  • Consent: where we ask for it, such as connecting an optional third-party integration;
  • Legal obligation: to comply with applicable laws (tax records, lawful requests, etc.).

6. Sharing your data

We share personal data only as follows:

  • Service providers (processors): cloud hosting (AWS), email delivery, payment processing, and the AI model providers described in section 4. Each is bound by a written data-processing agreement.
  • People you share with: when you share a list, note, drive, or chat with another user inside AISolver, the data you share is visible to those users per the permissions you set.
  • Legal + safety: if required by law, court order, or to protect rights, safety, or property.
  • Business transfers: in connection with a merger, acquisition, or asset sale (subject to a successor honouring this Privacy Policy).

We do not sell personal data and we do not share personal data for cross-context behavioural advertising.

7. International transfers

Some of our service providers are located outside the United Kingdom and EEA, including the United States. Where we transfer personal data internationally, we rely on the UK International Data Transfer Agreement, EU Standard Contractual Clauses, or other lawful transfer mechanisms.

8. Data retention

We keep your data while your account is active and for a reasonable period afterwards to handle disputes, comply with legal obligations, and recover archived data on request. Specifically:

  • Account data is retained for the life of your account plus 90 days after deletion;
  • Workspace content is retained for the life of your account; deleting an item in the Service moves it to your archive / trash, from which you can restore it; permanent deletion follows your action;
  • Logs and security event records are retained for up to 12 months;
  • Billing records are retained for the period required by tax + accounting law (typically 6-7 years).

9. Security

We protect your data with industry-standard administrative, technical, and physical safeguards: encryption in transit (TLS), encrypted password storage (Argon2/bcrypt-class hashing), strict access controls for our personnel, regular backups, and security monitoring. No system is perfectly secure; if a security incident affects your data we will notify you as required by applicable law.

10. Your rights

Depending on where you live, you may have the right to access, correct, delete, restrict, or object to processing of your personal data; to data portability; and to withdraw consent where processing relies on consent. UK + EEA users also have the right to lodge a complaint with their supervisory authority (in the UK, the Information Commissioner’s Office at ico.org.uk).

Exercise your rights by writing to privacy@exedos.com. We will verify your identity before responding and reply within applicable legal time limits.

11. Children

AISolver is not intended for children under 16. We do not knowingly collect personal data from children under 16. If you believe a child has provided us with data, contact us and we will delete it.

12. Cookies + similar technologies

We use a small set of strictly-necessary cookies (session, CSRF, UI preference) and local-storage entries to make the Service work. We do not use advertising, social-media tracking, or cross-site analytics cookies. You can clear cookies via your browser’s settings; doing so will log you out of the Service.

13. Changes to this Privacy Policy

We may update this Privacy Policy from time to time. The “Last updated” date above shows the current version. Material changes will be communicated by email or an in-product notice before they take effect.
